What dispatch means in a moving company
Dispatch is the daily act of matching booked moves to the trucks and people who will perform them, then making sure those people have what they need. In a small company it is the owner with a whiteboard and a group text. In a larger one it is a dispatcher juggling a week of jobs, a truck in the shop, crews with different skills and customers changing dates.

What a job packet should contain
The job packet is what the crew lead opens before knocking on the door. If any of this is missing, the crew calls the office.
Addresses and access notes
Origin and destination with floor, elevator reservation, stairs, parking, gate codes, long carry and truck size limits.
Approved inventory
The room-by-room list from the signed estimate, with special items, disassembly and crating flagged.
Documents to sign
Contract, Bill of Lading, inventory sheets and valuation selection, ready for signature on a phone.

Crew app basics
Crews do not need the whole CRM on their phones. They need the day's jobs, the job packet, a way to record start, arrival and finish times, signatures on the Bill of Lading and inventory, photos of pre-existing damage and a way to collect the final payment. Anything more goes unused. Anything less means calling the office.
Time stamps make hourly billing accurate and feed crew hours into job costing. Photos and signed inventory settle claims. Payment from the truck closes the job the same day. When the crew app writes back to the job record the office uses, the dispatcher sees progress in real time and the final invoice is accurate without anyone typing it up later.
Availability and conflicts
The board is only as good as the availability it knows about. Trucks need maintenance days and capacity by cubic feet. Movers need days off, roles such as driver or lead, and maximum hours. With those in the system, the software can warn when a job is assigned to a truck already booked, a crew member who is off, or a crew short a driver. The best conflict is the one the dispatcher sees while dragging the job, not the one the crew discovers at 7 a.m.

Assign the crew
Choose a lead, a driver and movers by availability and skill. Conflicts with days off or other jobs are flagged before saving.
Confirm and send the packet
An automated SMS or email confirms the date and arrival window with the customer. Crew members see the job in their app the evening before, with documents ready to sign and the balance to collect.
Track, close and review
Times, signatures, photos and payment write back to the job as they happen. Actual hours are compared to the estimate, the invoice is finalized and the review request goes out.
